General Policies
Financial & Payment Policies
- Registration fees are non-refundable.
- Tuition and fees are non-refundable after the student’s first day of class.
- KCBS strongly encourages enrollment in automatic payments. Installment plans are available at no additional charge with autopay. Non-autopay accounts may incur an administrative fee.
- Monthly installment payments are processed on the 5th of each month from September through April.
- Families are responsible for maintaining valid payment information on their account.
- A $25 fee may be assessed for returned payments.
- A $20 late fee may be assessed to accounts not paid within five days of the due date.
- Students with delinquent balances may be withheld from classes, rehearsals, performances, or other School activities until the account is current.
- KCBS does not send monthly invoices.
- Tuition must be current for students to participate in performances or receive costumes.
- A sibling discount may be applied to a younger sibling’s account. If the older sibling withdraws, the discount will be removed.
- By enrolling, families authorize Kansas City Ballet School to process payments according to the selected payment plan and acknowledge responsibility for all valid tuition and fee charges associated with enrollment.
Class Withdrawal
To withdraw from a program, please complete the Student Withdrawal Form. Verbal or email notifications will not be accepted. Withdrawal from a class must be completed by the 1st of the month. If this criteria is not met, the account holder will be held financially liable for the entire month’s payment as well as succeeding months until the withdrawal is completed. Should a student withdraw in the beginning, middle, or quarter which has been paid, the remaining tuition will be forfeited.
Class Make-Up Policy
- Students are permitted to take six make-up classes for absences for the Academic year.
- Make-up classes are not permitted in Open Division classes or during Family Watch Week, or in classes where performance preparations are held.
- Make-up classes are not permitted for planned closures, including but not limited to Winter Break, Spring Break, holidays, weather, or for absences due to a student’s involvement in KCB company productions.
- For KCBS to schedule a make-up for your student there must also be a recorded absence in our system. Please email or call if you know your student will be absent.
- All make-up classes must be arranged by emailing school@kcballet.org for permission. Due to class availability, a make-up class may not be available. On the day of your student’s make-up, please stop by the front desk to sign-in for the class.
- Make-up classes must be scheduled no less than one week in advance.
- If your student is going to miss their scheduled make-up class, the school must be notified so we can coordinate a reschedule.
- All make-ups for students in Creative Movement through Level 3 will be done in the same level. For students in Level 4 through Advanced Levels, make-ups may be scheduled in the same level or the level below.
- It is important for students to maintain good attendance in their own classes as too many absences may affect a student’s progress and future advancement.
Scholarships and Financial Aid
Merit Scholarships
- Academy students in Level 2 or above may be considered for a Merit Scholarship. Merit Scholarships are awarded at the sole discretion of the Kansas City Ballet School and require no application.
- Scholarships are awarded for the school year (September – May). Students must accept their scholarship award at the time of registration..
- Scholarship funds are modest and are highly competitive. Upon acceptance of a KCBS scholarship, KCBS students are required to be enrolled in their assigned class level for the fall semester, and may be asked to assist with various KCBS projects. All recipients must maintain a 95% or higher class attendance rate.
- Scholarships are not automatically renewed each school year and the awarded amount may vary from year to year. Students will be reevaluated by Kansas City Ballet School for consideration of continued or additional scholarships.
- Accounts must remain in good standing each month or the scholarship award will be revoked.
Financial Aid
- Academy students in Level 2 or above are eligible to apply for Financial Aid. Financial Aid is awarded for the school year (September – May).
- Check the School Calendar for application opening and closing dates. Applications are reviewed by the Financial Aid Committee and awards are based on varied criteria.
- Students must pay the registration fee in full upon enrollment. Financial Aid will be applied to tuition only.
- All recipients must maintain a 95% or higher class attendance rate.

- Accounts must remain in good standing each month or the financial aid award will be revoked.

Weather Policy
- During inclement weather, an official decision on the status of classes will be made by 2:00 PM. For Saturdays, decisions will be made either Friday night if possible or early Saturday morning. In the event that we do cancel classes, we will update our website, Facebook page, and voicemail accordingly. Otherwise, please plan to attend classes as normal.
- KCBS uses the Kansas City Public Schools and Shawnee Mission School District as a guideline for weather cancellations. Please note that though districts may be closed during the day, circumstances may change that allow us to have regularly scheduled classes in the evening.
- In the event of inclement weather that results in closure of Kansas City Missouri Public Schools, classes for the Daytime Program may also be canceled. Updates regarding the Daytime schedule will be communicated from the school. Please note that there are circumstances that may result in Daytime Program classes being cancelled but evening classes being held as scheduled and vice versa.
- The exception to this policy is when schools close due to cold weather not snow or ice. If schools are closed due to temperature but road conditions are not hazardous, classes may be held as scheduled.
- Make-up classes are not permitted in the event classes are cancelled due to weather.
Building Protocols & Guest Policies- Bolender Center
We are very proud of our Kansas City Ballet campuses and want you to feel welcome inside. Please keep in mind that in addition to our Academy programs, the Bolender Center is home to the Kansas City Ballet Company, KCB Second Company (which comprises KCB II and Trainees), and many staff members. In order to maintain a professional, studious, and productive environment it is important that caregivers and guests follow some general guidelines.
We welcome families into the Bolender Center. If you choose to wait indoors for your student, you will be directed to wait in the Ellis Conference room only. There will be occasions when the conference room is unavailable due to Company and staff events; on these days we will be unable to accommodate parents waiting indoors, but the restrooms and water filling station will remain accessible. We will do our best to notify families when the waiting area will be unavailable.
Caregivers waiting for students at the Bolender Center may use only the first floor* bathrooms and water filling stations.
Access Policy Bolender Center:
As spacious as the Bolender Center is, with the growth of our Pre-Professional, and Academy programs, our capacity for guests is limited. Our hallways are crowded with dancers and students during class and rehearsal transitions, so with the exception of caregivers to students in Adaptive Dance classes, we cannot allow anyone waiting for a student above the 1st floor lobby area with the exception of:
- First day of classes
- Watch Weeks and similar special events
- Parents of new students in Creative Movement, Fundamentals, Pre-Ballet, and Level 1 for the first two weeks of classes.
Reminders while you are in the building:

- Caregiver access, with the exceptions above, is limited to the first floor lobby area

Building Protocols & Guest Policies- South Campus
Access Policy South Campus:
We welcome you in if you are dropping off a student or waiting for a student to be dismissed. No parents are allowed in the dressing rooms.
Reminders while you are in the building:
- Business operations and classes are conducted from the moment we open until we close at night. Please be mindful of this and keep voices and conversations at low volumes.
- Please be respectful of our building and its staff at all times.
- Please mind the signs and do not go into any areas or through doors that are labeled “Staff only”.
- Only stainless steel and plastic water bottles with lid (NO STRAWS) are allowed in KCB studios. NO GLASS.
- Shoes must be worn at all times in hallways and common areas.

Arrival
- Students should arrive for class no more than 15 minutes before class start time.
- Parents are allowed into the building at either campus.
- Students should arrive in their dance clothes under street clothes and with their own equipment (e.g. yoga mat, theraband).
- Dance shoes are prohibited from being worn outside the building.
- Dressing Rooms will be available to students at the South Campus and to students in Levels 6-7 and Pre-Professional Programs at the Bolender Center.
- Daily class schedules will be posted on the TV screens near the front desks. If students have any questions about the schedule, please ask at the front desk.
- Shoes must be worn by all students at all times in hallways and common areas.
Bolender Center Campus
- Bolender Center students will be directed in one of three ways. They will either be asked to line up in the lobby and wait to be escorted to their classroom, they will be asked to go directly to the area outside their assigned studio or they may be directed to proceed to the dressing rooms.
- Students should not enter the studio until a teacher or KCBS staff has instructed them to do so.
- Shoes must be worn by all students at all times in hallways and common areas.
South Campus
- South Campus students will be directed to go to the dressing rooms. No parents are allowed in the dressing rooms.
- Students should not enter the studio until a teacher or KCBS staff has instructed them to do so.
- Shoes must be worn by all students at all times in hallways and common areas.
In the Studio
- Shoes must be worn at all times when not in a dance studio.
- Please leave dance bags in the area directly outside of your studio. Pointe shoe bags and water bottles (plastic or metal only) may be taken into class. Students should not bring expensive items, such as electronics or jewelry. Jewelry and watches may not be worn in any KCBS classes. All belongings should be kept INSIDE of dance bags, including cell phones which should be silenced or off during class time.
- KCBS is not responsible for lost, stolen, or damaged items. Labeling all personal items with the student’s name is recommended. Please check the lost and found for missing items. All items that have not been retrieved from the lost and found will be discarded or donated to charity.
- Students should use the restroom prior to class. They will only be allowed to use the bathroom during class at the teachers’ discretion.
- At Bolender, both water fountains and water bottle filling stations are available. At South Campus, only water bottle filling stations are available. Only stainless steel and plastic water bottles with lids (NO STRAWS) are allowed in KCB studios. NO GLASS.
- Students should wait for the teacher to open the studio door. As soon as the teacher is in the studio, and has opened the door, students may enter the studio one at a time and take their places quietly at the barre.
Departure
- After putting on street clothes and gathering their belongings, students at the Bolender Center will exit the building via the main lobby. Parents: please come to the lobby to meet your student or secure a spot in the vehicle pick up line.

*Definitions
Bolender Center/BC – The Todd Bolender Center for Dance and Creativity, located at 500 West Pershing Road, Kansas City, MO.
Class – The period of time your child is receiving instruction directly from faculty inside of one of the KCBS dance studios.
Company – The Kansas City Ballet professional performance company.
First Floor – The area at ground level inside the Bolender Center where Security, the guest bathrooms, Ellis Conference Room, Studio 1, benches/waiting area, and the Front Desk are situated.
Front Desk (BC)- The large reception desk at the far end of the first floor lobby in the Bolender Center, where guests can check in for class, make payments and general inquiries, and purchase school merchandise.
Front Desk (SC) The reception desk directly across from the main door of the South Campus.
Front Door (BC)– The entrance at the west end of the Bolender Center building.
- Students will be escorted by a teacher or KCBS staff to the designated exit.
- Students must be picked up at the designated pick-up location within the 15 minutes following their class. KCBS is not responsible for students outside of this time. Please notify the front desk immediately if you will be late picking up your student.
Mezzanine – At BC, the first landing of the stairs where the vending machines, upper entry to Frost Theater, studios 2 and 3 and students common area are located.
Rehearsal – The period of time your child is receiving direction and learning choreography for professional Company as well as Academy productions. Also the period of work for the Company until 6pm inside the Bolender Center.
Security – The uniformed employee who is responsible for the safety of KCBS students, faculty, and staff. She also helps direct traffic at dropoff and pick-up, and assists in maintaining a calm, professional environment inside the Bolender Center.
Second Floor – the top floor of dance studios at BC. Studios 4-7, children’s dressing rooms, and children’s bathrooms are located here.
South Campus/SC – The Kansas City Ballet campus located at 9415 Nall Ave Suite 100, Prairie Village, KS 66207
Watch Week(s) – Specific days during the Academy school year where parents and caregivers are invited into their child’s dance class to observe.
